REQUIREMENT: 1. College or above. 2. Maritime, international Trading, Business Administration subject is preferred. 3. At least 2 years clerical experience. 4. Experience in the freight forwarding industry is required. 5. Familiar with Microsoft office software and PC skills. 6. Good command of English, Mandarin. RESPONSIBILITY: Summary To handle day-to-day shipment arrangement and documentation collection, preparation and distribution within the ocean team to provide our customers with consistent and overall high level of service. To contact and communicate with overseas counter party, sales team, carrier, shipper, booking agents, trucking companies, Custom Broker, warehouse or other relative parties for shipment arrangement. To execute shipping arrangement accordingly to the company guideline as well as Customer specific SOP. To maintain the accuracy of documentation data in the specific system so as t ensure he systems are reliable for track and trace purpose internally and externally. To work with staff in other levels to ensure an efficient workflow and a smooth communication to achieve the team success. 1. Follow standard operating procedures established. 2. Accept booking from shipper and book/Coordinate shipments with ocean carriers. 3. Contact overseas agents/office, get proper instruction for shpt arrangement and keep overseas office/client updated with shipment status. 4. Provide accurate and timely information to clients and venders. 5. Maintain close liaison with booking agent/carriers for shipment booking, freight pick up, custom clearance and warehouse loading. 6. Handling each file with effective and profitability guideline. 7. Key in shipment information into e-trans system and timely update the information in the system. 8. Update GOL with timely manner. 9. Send accurate AMS/ACI information via IES system. 10.Prepare price quotation for the local charges to the shipper according to company standard quotation sheet. 11.Research, resolve and report operational problems. 12.Prepare/issue the bill of lading according to customer's requirement. Prepare shipping documents as required. 13.Cut invoice and billing to customer and overseas office/agent. Assure timely billing as per company policy . 14.Confirm on board with shipping line . 15.Distribute pre-alert and required documents to appropriate parties in timely manner within 3 days. 16.Prepare Job cost sheet for each file and close file within 7 days. 17.Other duties as assigned to the position.
